FUNDING GUIDANCE

When looking for funding, don't just look for cash...
...look for the right people

Funding Guidance in 7 Steps

Step1 Learning

 Step 1: Learning about Erasmus+ KA1

The first step is to learn about the structure and content of Erasmus+ Key Action 1 for School Staff by reading the Erasmus+ Guide for the year you intend to apply. Click here for the Erasmus+ Programme Guide 2019. This Action focuses in providing opportunities to individuals improve their skills and competences and develop their employability and intercultural consciousness covering the fields of Higher Education, School Education, Vocational Education and Training, Adult Education and Youth.

Step2 Eligibility

Step 2: Eligibility

In the context of a Mobility Plan for School Education, Vocational Education and Training and Adult Education, only entities that are included in the list of the Ministry of Education of each country can send their staff abroad for teaching, job shadowing or participating in training courses. Individuals cannot apply directly for a grant.

Step3 Deadlines

 Step 3: Deadlines

The Official Call for Proposals announces once a year the application deadlines, which are published in the section Calls for Proposals on the website of the National Agency of each country and the website of the European Commission. For the 2019 Call for Proposals the deadline is the 5th February 2019, 13:00 (Cyprus time).

Step4 Subscribe

Step 4: Subscribe to EU Login account

In order to be able to apply for Erasmus+ KA1, the organization is required to register on the Unique Identification Portal (URF Portal) and upload the relevant data needed to create an EU Login account and receive a PIC number (Participant Identification Code). The documents needed are the following:

  1. Legal entity form for public / private entities
  2. Financial Identification Document
  3. Financial capacity documents to check for Grant Applications requesting over 60.000

The EU login requires an active e-mail address, which should not be a personal one, but an address in which anybody that might undertake the project coordination in the future could have access, i.e. email address of the school.

See here detailed instructions for creating an EU Login account.

Step5 Application

Step 5: Completion of Application forms

It is important to note that the form you should complete is a Web Application Form. No hard-copy submission of applications is valid. Carefully fill-in all the blanks with the appropriate data. There is an auto save functionality on the form and, therefore, the data are not lost, just make sure that there is always an internet connection when you work on the application form. When you complete it, download and save the application form on your computer. Before submitting the application, check whether it is valid, by clicking on the VALIDATE button and make sure that the following documents are annexed to the application:

  1. Declaration of Honour: It can be found on the application form itself. This document must be printed, signed by the legal representative of the organization or school, stamped, scanned and added as an attachment to the application.
  2. Mandate: A document that must be signed by all partners, by which the coordinator is authorised to act in their name during the implementation of the project.

Step6 Evaluation

Step 6: Evaluation of applications

Once submitted, applications are evaluated based on eligibility criteria as defined by Key Action in Section B and in Section C of the Erasmus+ Programme Guide. Applications are subject to qualitative evaluation and then ranked on the basis of their ranking in descending order. For more details, you can get information from the 2019 Erasmus+ Guide for Experts on Quality Assessment.

Step7 Results

Step 7: Results notification

The results for all applications submitted are published on the websites of the National Agency of your country between the months May-August 2019. All applicants are formally notified in writing about the results for each application they have submitted. The formal commencement of your KA1 projects is September 2019.
